Purpose:
To ensure uninterrupted operational and administrative support for project activities in Lahore, Kasur, and Khanewal. The Consultant Admin & Logistics Officer will be responsible for managing logistics, procurement, inventory, travel arrangements, and event coordination. The consultant will also oversee admin staff, maintain accurate documentation, support field operations, and ensure compliance with Jhpiego and donor policies during the transition period to avoid any disruption in project implementation.
Responsibilities:
Specific Objectives:
To provide timely and efficient administrative and logistics support for smooth execution of project operations, events, procurement, inventory management, and field coordination in Lahore, Kasur, and Khanewal, while ensuring compliance with organizational policies during the transition period.
Description of Objectives:
The Consultant Admin & Logistics Officer will be engaged to ensure seamless continuation of administrative and logistics operations across Jhpiego’s Lahore office and field sites in Kasur and Khanewal during the transition period. The consultant will:
- Ensure Smooth Operations: Provide day-to-day logistics and administrative support for project activities, including field coordination and routine office functions.
- Support Event Coordination: Assist in the organization and logistical arrangements of workshops, trainings, and meetings, including venue coordination, material preparation, and participant support.
- Manage Travel & Accommodation: Arrange travel, lodging, and related logistics for staff and consultants, ensuring timely and cost-effective solutions.
- Procurement & Payments: Facilitate procurement processes in line with Jhpiego/donor policies, verify vendor invoices, and ensure timely submission to Finance for payments.
- Inventory & Asset Management: Maintain accurate records of office supplies, assets, and inventory; conduct periodic reconciliations and submit updated reports to management.
- Supervise Support Staff: Monitor the performance of admin support staff (drivers, office assistants, etc.), provide mentoring, and document necessary feedback and actions.
- Petty Cash & Filing: Manage petty cash in accordance with policy and maintain a well-organized filing system for all administrative and logistics records.
Deliverables:
- Logistical and administrative support provided for project operations in Lahore, Kasur, and Khanewal.
- Coordination of workshops/trainings, including venue, travel, and material arrangements.
- Procurement processing and preparing of purchase order on Quickbook and uploading it on docuvanatge for approval.
- Updated inventory records with final reconciliation report submitted.
- Travel and accommodation arrangements documented for all project staff.
- Supervision and performance monitoring of admin support staff completed.
- Petty cash managed and final reconciliation submitted.
- Filing system updated and all documentation archived (hard/soft copies).
Level of Efforts (LOE):
The nature of consultancy will be monthly basis and engagment is from August 01 to September 30, 2025.
Required Qualifications and Experience:
- Minimum bachelor’s degree in Business Administration, Logistics, or related field
- At least 5 years of relevant experience in administration and logistics support
- Proven experience in Admin procurement, inventory management, and event coordination
- Strong organizational and communication skills
Reporting Line:
The consultant will report to the Provincial Program Manager Lahore.
